Cargo charter aircraft
In short

One aircraft, one shipment

An international air charter books a whole aircraft for one shipment across a border.

International charters International air charters

What an international air charter is

An international air charter is the booking of a whole aircraft for one shipment on a route that crosses a border. The aircraft flies when the cargo is ready, from the airport that suits the shipment, rather than on an airline's published schedule. Charters carry passengers too, but this page is about cargo.

Shippers charter when scheduled international air freight will not work. The cargo may be too large or heavy for scheduled flights, the deadline may be too tight, or no suitable flight may serve the route. Production parts, energy equipment, aircraft parts and relief supplies often move this way.

AirFreight.com arranges cargo charters across North America, between the US, Canada and Mexico. Beyond North America, this guide explains how international charters work.

Aircraft International air charters

Aircraft options for cargo charters

Once a charter makes sense, the cargo decides the aircraft. Small urgent shipments, such as a critical part, can fly on a light cargo aircraft or a business jet, which can use smaller airports close to the pickup or delivery. Turboprop and narrowbody freighters carry pallets and larger loads over regional and medium distances.

The largest loads need widebody freighters, which can carry very heavy and bulky cargo over long distances. Door size and hold dimensions matter as much as weight, because a piece that does not fit through the cargo door cannot fly on that aircraft.

The destination airport matters too, since some airports lack the equipment to unload large freighters. AirFreight.com matches the aircraft to the cargo and the airports for North American charters.

The rule

The aircraft and the trip

Charter cost follows aircraft size, flight time, positioning, fees and timing.

Cost International air charters

What drives charter cost

Because a charter books a whole aircraft, its cost follows the aircraft and the trip rather than the weight of the cargo alone. Larger aircraft cost more to fly, and longer routes mean more flight time and fuel. If the nearest suitable aircraft is far from the departure airport, the charter includes the flight to bring it there, and sometimes the return.

International routes add permits, landing and navigation fees, and ground handling at each airport. Timing matters as well. An aircraft needed within hours, at night or during a busy season can cost more than one booked with more notice. Trucking to and from the airports completes the total.

AirFreight.com explains these drivers for every North American charter quote, and compares charter with scheduled options before you commit.

Details get the right aircraft

Complete cargo, route and customs details let a provider match the right aircraft.

Choosing International air charters

Choosing a provider and what to send

Charters are arranged either directly with an operator, the company that owns and flies the aircraft, or through a broker that finds a suitable aircraft from several operators. A broker can compare more aircraft and handle the trucking and paperwork around the flight. Either way, ask which operator will fly the cargo, whether it holds the right air operator certificate and how the cargo is insured.

For a quote, send what the cargo is, the number of pieces, the weight and dimensions of each, any dangerous goods, the pickup and delivery points, the ready and delivery dates and whether customs paperwork is ready.

Complete details get the right aircraft on the first try. AirFreight.com uses them to match an aircraft for North American charters and quote it clearly before you commit.

International Air Charter Questions Answered

What is an international air charter?

An international air charter is the hire of a whole aircraft for a flight that crosses one or more national borders. For cargo, it means one shipper's freight fills the aircraft, which flies on the shipper's timeline between airports chosen for the shipment, rather than on an airline's published schedule. International cargo charters are used for oversized or very heavy cargo, urgent shipments that cannot wait for a scheduled flight, and routes that scheduled services do not cover. They require permits and customs clearance in each country involved.

What affects the cost of an international cargo charter?

The cost of an international cargo charter depends mainly on the size of aircraft, the distance and flight time, and where the aircraft starts. If it must fly empty to the departure airport, that positioning flight adds cost, and sometimes the return flight does too. Landing, navigation and handling fees, permits, crew costs and fuel prices all play a part, along with how soon the aircraft is needed and the season. Trucking to and from the airports and customs clearance add to the total door-to-door cost.

How far ahead should I book an international charter?

How far ahead to book depends on the route, the aircraft and the countries involved. Some charters can be arranged within hours, especially short cross-border flights with suitable aircraft nearby. Others take longer because landing and overflight permits must be approved, and some countries need more notice than others. Customs documents, dangerous goods paperwork and ground handling at remote airports can also take time. Contacting a provider as soon as the need is known, with complete cargo and route details, gives the most options.

What permits does an international charter need?

An international charter usually needs a landing permit from the destination country and, on many routes, overflight permits from the countries the aircraft crosses. Each country sets its own requirements and processing times. Some flights also need slot approvals at busy airports or special permits for dangerous goods. The operator or charter provider normally applies for flight permits, while the shipper is responsible for the cargo's export and import documents. Missing or late permits are a common cause of charter delays, so they should be started early.

Who handles customs on an international cargo charter?

Customs on an international cargo charter is usually handled by a licensed customs broker acting for the shipper or the receiver, not by the aircraft operator. The broker prepares and files the import declaration, arranges payment of any duties and taxes and works with customs officials at the arrival airport. The shipper typically provides a commercial invoice, packing list and any permits or certificates the goods require. Having the broker and documents ready before the flight helps the cargo clear quickly once the aircraft lands.

What aircraft are used for cargo charters?

Cargo charters use a range of aircraft depending on the size, weight and urgency of the shipment. Business jets and light cargo aircraft carry small, urgent parts and can use smaller airports. Turboprop freighters handle regional loads and shorter runways. Narrowbody freighters carry pallets and larger loads over medium distances, while widebody freighters carry the heaviest and bulkiest cargo over long routes. The right aircraft also depends on door and hold dimensions and on whether the airports can load and unload it.

What is the difference between a charter broker and an operator?

An operator is the company that owns or manages the aircraft, employs the crew and is responsible for flying it under its air operator certificate. A charter broker does not fly the aircraft. It finds a suitable aircraft from one or more operators, negotiates the charter and often arranges trucking, paperwork and other services around the flight. Booking directly with an operator limits the choice to its own fleet, while a broker can compare several. Shippers should always know which operator will actually fly their cargo.

Can I charter a cargo plane to Canada or Mexico?

Yes. Cargo charters between the United States, Canada and Mexico are common for urgent production parts, equipment and other time-critical freight. These flights are international, so they need landing permits and customs clearance on arrival, but the shorter distances often mean smaller aircraft and faster arrangements than overseas charters. The shipper should have a customs broker and the required documents ready before the flight. Trucks are usually arranged to take the cargo to the departure airport and from the arrival airport to the receiver.

What documents are needed for an international cargo charter?

Documents for an international cargo charter usually include an air waybill or charter manifest describing the cargo, a commercial invoice showing its value, a packing list with the weight and dimensions of each piece, and any export declarations required by the origin country. Some goods need import permits, certificates of origin or other certificates. Dangerous goods need a shipper's declaration and must be packed and labeled under the rules. The customs broker at the destination can confirm exactly what is required for the specific goods and country.

When is a charter better than scheduled air freight?

A charter is better than scheduled air freight when the cargo is too large or heavy for scheduled flights, when no scheduled flight will meet the deadline, or when the route is not served well by scheduled services. It can also make sense when the cost of a delay, such as a stopped production line or a missed project milestone, is greater than the extra cost of the charter. When a scheduled flight can carry the cargo in time, it is usually far cheaper, so comparing both options is worthwhile.
