Freight Estimate

A freight estimate is only as good as the details behind it. Send accurate weights, dimensions and deadlines, and the number holds. AirFreight.com turns those details into quotes for air freight and expedited ground across North America.

FREIGHT ESTIMATES

A Freight Estimate You Can Plan Around

A freight estimate is a planning number. It helps you budget, compare modes and decide whether a shipment should fly or drive. It is only useful if it lands close to what you actually pay.

AirFreight.com gets it close by asking for the right details up front. Send the addresses, pieces, weights, dimensions and deadline, and an expediter quotes the options that fit, from air freight to a dedicated truck. You'll know what the number covers before you book.

Most estimates miss for the same reasons. The dimensions were guessed, the ready time changed or the delivery needed a liftgate. Give us accurate details up front, and the estimate becomes the quote with no surprises on the final bill.

Here is how estimates work and what to send for one that holds.

Freight estimate Definition

What a freight estimate is

A freight estimate is a projected cost based on the shipment details you provide.

A quote confirms the price for a defined shipment, and the invoice reflects what actually moved. Across every mode, distance, weight, size, speed and timing drive the number. The type of service matters too, from a shared trailer to a dedicated flight.

The closer the estimate's details match the real freight, the fewer surprises later. AirFreight.com turns your details into a quote for air freight or expedited ground.

What to send The details

What to send for an accurate estimate

While a rough estimate takes seconds, a detailed one is often far more useful for planning freight that must arrive on time. Start with the pickup and delivery addresses or ZIP codes. Add the ready time and the deadline.

List the pieces, with the weight and the length, width and height of each, including the pallet. Note the commodity, whether it stacks, and whether a dock or liftgate is available at each end. Declare hazardous materials.

On balance, complete details are what make an estimate hold. That makes a two-minute measurement the cheapest step in any shipment. AirFreight.com confirms these details before your freight is booked.

Air measurement Chargeable weight

How air freight is measured

Air freight providers usually charge on chargeable weight, including the space a shipment takes on the aircraft. This means a shipper pays for volume whenever light freight fills a large space. Chargeable weight is the greater of actual and dimensional weight.

For domestic air, dimensional weight is length times width times height in inches, divided by 166. A 48 by 40 by 48 inch pallet is 92,160 cubic inches. At 300 pounds actual, it charges as about 555 pounds.

Dense freight, such as metal parts, flies on actual weight. AirFreight.com measures chargeable weight before your quote, so the estimate holds.

Transit Transit time

Estimating transit time

When a standard transit estimate isn't the right fit for a firm deadline, a faster mode might be the answer. Distance, mode and cutoffs set most transit times. Terminal handling, pickup windows and weekends add to them.

LTL moves through terminals and usually takes longest. Full truckload goes direct but follows driving limits. Expedited ground drives straight through, and air freight is fastest over long distances.

And when a truck isn't the right solution, we also offer next flight out, hand carry and air charter for tight deadlines. AirFreight.com estimates the transit time with the cost, so both fit your deadline.

Bill changes Why it changes

Why the final bill can change

Whether your priority is speed, cost or both, a freight estimate remains one of the most practical ways to plan a shipment. But the final bill can change. Carriers reweigh and remeasure freight at terminals and airports.

If the numbers are higher, the charges follow. Services added at delivery, such as a liftgate, inside delivery or waiting time, can add cost too. So can an address change, a missed pickup or a wrong freight class.

Accurate details at booking prevent most of these changes. AirFreight.com confirms dimensions, access and timing up front, so your estimate matches the freight.

The $90,000 Trailer Sitting Idle: Todd Waldron on Trailer Sharing

Todd Waldron, Chief Commercial Officer at REPOWR, joins host Kevin Carpenter to break down the trailer sharing marketplace that has moved more than 60,000 trailers across 10,000+ carriers and 275 suppliers. A dry van now runs about $50,000 and a reefer up to $90,000, yet the average trailer spends 30 to 40 percent of its life empty or idle. REPOWR lets fleets relocate trailers by renting them out instead of paying a driver to go out of route, and gives carriers and shippers access to equipment right where they need it.

Kevin asks the expedite question: how fast can you actually reposition a trailer? Todd walks through short run pricing, the new loadaway product and a realistic five to seven day window. They also get into trailer tracking, fraud and the guardrails owners set over who hauls their equipment, when owning still beats renting, and how REPOWR's trailer optimization platform balances trailer pools automatically. Then Todd takes on the On Air Gauntlet, and pickles do not fare well.

Todd has 19 years in transportation, including CH Robinson, JB Hunt (where he helped build JB Hunt 360), CEO of Q Carriers, and VP of Carrier Experience at Truckstop.

Freight Estimate Questions Answered

How do I get a freight estimate?

To get one, gather the shipment details first: pickup and delivery addresses or ZIP codes, the ready time and deadline, the number of pieces, and the weight and dimensions of each piece, including pallets. Then request an estimate from a freight broker or carrier through an online form, email or phone call. Online calculators give quick numbers for standard freight, while urgent or unusual shipments are usually reviewed by a person. Comparing estimates on the same details gives the clearest picture of your options.

What information is needed for a freight estimate?

A freight estimate needs the origin and destination, the ready time and delivery deadline, the number of pieces, and the weight, length, width and height of each piece. A description of the commodity, how it is packaged, whether it can be stacked and whether hazardous materials are included also matter. Access details, such as whether there is a loading dock or a liftgate is needed, and whether the address is a business or a residence, help make the estimate accurate from the start.

What affects the cost of freight shipping?

The main factors that affect the cost of freight shipping are distance, weight, size, the mode of transport and how fast the freight must arrive. Dense freight that is easy to handle usually costs less to move than light, bulky freight. Dedicated vehicles and air freight cost more than shared or scheduled services but arrive faster. Fuel prices, market demand and capacity also move costs up and down. Extra services, such as liftgates or inside delivery, add to the total.

How long does freight shipping take?

How long freight shipping takes depends on the mode and distance. LTL freight moves through terminals and usually takes the longest, especially across the country. Full truckload goes direct but follows driving limits, so long distances take several days. Expedited ground drives straight through and can cover regional lanes overnight. Flying is fastest over long distances, with next flight out and air charter able to deliver the same day or overnight. Pickup timing, cutoffs and weekends also affect transit.

How can I estimate transit time for freight?

To estimate transit time, start with the distance and the mode. Then add the time for pickup, any terminal or airport handling, and final delivery. For air freight, check whether the freight can reach the airline before the flight's cutoff. For ground freight, consider driving limits and whether the shipment stops at terminals. Weekends and holidays can add days for some services. The simplest approach is to give a broker the ready time and deadline and ask which options meet it.

What is the cheapest way to ship freight?

The cheapest way to ship freight is usually LTL for a few pallets with a flexible delivery date, and full truckload for large shipments that fill most of a trailer. Deferred air can be economical for small, light freight that can wait for available space. Cheaper options trade cost for time, with more handling and less certainty about the delivery date. The best value is the least costly option that still meets the deadline, because a missed deadline often costs more than faster freight.

What is dimensional weight?

Dimensional weight is a way of charging for the space a shipment takes up rather than only its actual weight. It is calculated by multiplying length, width and height in inches and dividing by a set number, commonly 166 for domestic air shipments. For example, a 48 by 40 by 48 inch pallet has a dimensional weight of about 555 pounds. If the pallet weighs only 300 pounds, it is charged as 555 pounds. Dimensional weight mainly affects light, bulky freight.

What is chargeable weight?

Chargeable weight is the weight used to calculate the cost of a shipment by air. It is the greater of the actual weight and the dimensional weight. Dense freight, such as metal parts, is charged on its actual weight, while light, bulky freight, such as foam products or empty containers, is charged on its dimensional weight. Knowing the chargeable weight helps shippers compare estimates for flights and decide whether repacking freight into smaller boxes or pallets would lower the cost.

What is freight class?

Freight class is a standard classification used mainly for LTL shipments to group freight by how easy it is to transport. It ranges from class 50 to class 500 and is based on density, how easy the freight is to stow and handle, and its liability for damage or theft. Denser freight that is easy to handle falls into lower classes and costs less to ship. Freight class does not usually apply to full truckload, expedited ground or air shipments, which use weight, size and distance.

Why is my freight invoice higher than the estimate?

A freight invoice can be higher than the estimate when the shipment differs from the details used to create it. Common reasons include a higher weight or larger dimensions found at reweighing, extra services added at pickup or delivery, such as a liftgate or inside delivery, waiting time at a dock, an address change, a missed pickup or a different freight class. Giving accurate measurements, access needs and timing at booking, and confirming them before pickup, prevents most differences. A quick photo of the freight with a tape measure in view also helps settle any later questions.

Are freight prices going up?

Freight prices move with demand, capacity and fuel costs, so they change throughout the year. In late 2026, air freight rates were well above the previous year, with higher jet fuel prices and strong peak-season demand pushing them up. Truck capacity was also tighter than a year earlier. When prices are rising, estimates may only hold for a short time, so shippers benefit from requesting estimates early, booking promptly and keeping more than one mode in view. Watching current market reports gives a sense of where prices are heading before you request a quote.
