CRITICAL AIR FREIGHT

When the Shipment Can't Be Late, Plan for Everything

Critical freight leaves no room for a second try. If the flight is missed or the connection fails, the line stays down, the aircraft stays grounded or the procedure is postponed. The plan has to hold on the first attempt.

AirFreight.com builds that plan around your deadline. We pick the fastest option your freight can actually take, line up a backup before pickup and watch every milestone. One expediter owns the shipment from the first call to the final signature.

The backup plan is what makes freight critical service work. Before pickup, we know the second flight, the next charter option and the truck route if the airport closes. If the first plan slips, your expediter switches to the backup in minutes.

Here is what makes freight critical and how to find the flight that will take it.

Next Flight Out and Same Day Air

Critical freight goes on the first departure that will accept it, or on flights chosen to deliver today. Trucks are booked at both ends. Your expediter confirms the cutoff and the recovery time, so the delivery truck is waiting when the flight lands.

Critical air freight Definition

What makes air freight critical

Critical freight is defined by consequence: a stopped production line, an aircraft on the ground, a medical procedure or a contract deadline.

The same box can be routine one day and critical the next. Critical freight gets a dedicated plan, a priority booking and active monitoring instead of standard routing. Every step, from pickup to the final signature, is planned around the deadline rather than the cheapest route.

AirFreight.com arranges critical air freight, from single parts to full pallets. Every shipment is monitored from pickup to delivery.

Know the limit

Fit narrows it before speed

Size, weight and hazmat status decide which flights will accept the freight.

What fits Belly or freighter

What fits on which flight

While a passenger flight offers far more departures, a freighter is often the better fit for large or restricted freight. Passenger aircraft holds limit piece height and size. Freight that flies on them must be screened and come from a known shipper.

Freighters take pallets and larger pieces, but they fly fewer routes on fewer schedules. Some dangerous goods, including certain lithium batteries, may fly only on cargo aircraft. For critical shipments, size, weight and hazmat status narrow the options before speed does.

This makes accurate shipment details a practical way to find the fastest flight that will accept the freight. AirFreight.com checks those details first and books the option your freight can actually take.

Speed, size and cost

The fastest option the freight can take is not always the most expensive one.

Speed and cost Ordering the options

Ordering the options by speed and cost

Critical freight providers usually start with the fastest option the freight can take, including passenger flights for small pieces. This means a shipper always has a ranked plan whenever a deadline is at risk. Same day air uses the first passenger flight that can deliver the same day, often counter to counter.

Next flight out books the first departure with space. A hand carrier keeps a small item with a courier, a charter departs on your schedule, and exclusive-use ground drives straight through. Aircraft or vehicle size, distance, after-hours timing and handling all affect the cost.

Our dispatch team is available around the clock, including weekends and holidays, so you can book critical freight at any hour. AirFreight.com arranges each option and makes sure your freight takes the fastest one that fits.

How it works

Call to proof of delivery

Book, dispatch, screen before cutoff, fly, recover and deliver, with a backup in place.

The sequence Call to delivery

From call to delivery

When the first plan isn't the right fit for your deadline, the call itself sets up the next one. It starts with the details: pieces, weight, dimensions, hazmat status, pickup and delivery addresses and the deadline. The option is chosen, the flight or aircraft is booked, and pickup is dispatched.

The freight is tendered and screened before cutoff, then flown while milestones are reported. A truck recovers it at the destination airport and delivers it, and proof of delivery closes the move. Freight that is ready at pickup and accurate dimensions speed things up, while late ready times and hazmat paperwork slow them down.

It's also the right call to keep a backup in place, so a missed flight does not become a missed deadline. AirFreight.com coordinates each step and keeps you updated to delivery.

Critical Air Freight Questions Answered

What is critical air freight?

Critical air freight is a shipment that must arrive by a specific time because a late arrival would cause serious losses. Examples include parts for a stopped production line, components for a grounded aircraft, medical devices for a scheduled procedure and materials for a contract deadline. Critical freight gets a dedicated plan rather than standard routing: a priority booking, a backup option and close monitoring. The term describes the consequence of delay more than the freight itself, so the same item can be routine one day and critical the next.

What is next flight out?

Next flight out is a service that books freight on the first scheduled flight with available space between two airports. Trucks collect the freight and deliver it to the airline before the cutoff, then recover it at the destination and deliver it. It is one of the fastest scheduled options and costs far less than chartering an aircraft. The trade-off is that it depends on airline schedules, cutoffs and space. When flights are full or no departure meets the deadline, a charter or hand carry may be needed instead.

What is counter-to-counter air freight?

Counter-to-counter is an air freight service where a shipment is dropped at an airline's cargo counter at one airport and collected at the counter at the destination airport. It usually uses passenger flights, which depart frequently, so small, urgent boxes can move the same day. The shipper or a courier handles the drive to and from each airport. Size and weight limits are tighter than for standard air freight, because the freight rides in passenger aircraft holds. It suits small parts, documents and samples on tight deadlines.

What is an onboard courier?

An onboard courier, also called a hand carrier, is a person who travels with a shipment on a scheduled passenger flight and delivers it in person. The item goes as baggage or carry-on, so it stays in the courier's custody the whole way. It suits small, valuable or critical items such as an electronic component, a medical device or legal documents. Onboard couriers skip cargo cutoffs and terminal handling, which often makes them the fastest option for small pieces. Airline baggage rules limit size and weight.

What is AOG?

AOG stands for aircraft on ground. It means an aircraft cannot fly until a part is replaced or a repair is made. An AOG is costly for an airline or operator, because the aircraft earns nothing while grounded and schedules may need to change. AOG shipments are therefore among the most time-critical freight. The part may travel by hand carry, next flight out or charter, depending on its size and the distance. Operators often keep AOG desks that work around the clock to source and ship parts.

What is belly cargo?

Belly cargo is freight carried in the lower holds of passenger aircraft, beneath the cabin. Because passenger flights are frequent, belly cargo offers many departures and connections, which helps urgent shipments. Its limits are piece size and height, which must fit the hold doors and space, and security rules that require screening and known shipper status. Larger or restricted freight, such as some dangerous goods, may need a freighter instead. Many urgent shipments fly as belly cargo on the first suitable passenger flight.

What is a TSA Indirect Air Carrier?

An Indirect Air Carrier, or IAC, is a company approved by the Transportation Security Administration to tender cargo to passenger airlines. Freight forwarders and some brokers hold this approval. An IAC must follow a TSA security program covering how it accepts cargo, verifies shippers and handles screening. The program protects passenger flights, which carry a large share of air cargo. For shippers, working with a company that can tender to passenger airlines opens more flights, which can be decisive for critical freight.

What is chain of custody in air freight?

Chain of custody is the documented record of who had control of a shipment at each stage, from pickup to delivery. It includes signatures or scans at each handoff: the pickup driver, the airline terminal, screening, the aircraft, recovery and the delivery driver. A clear chain of custody helps prevent loss and tampering and shows where a problem occurred if one does. For critical and high-value freight, shippers often choose options that reduce handoffs, such as hand carry or an exclusive-use vehicle, to keep the chain short.

What is the difference between a part charter and a full charter?

A full charter books an entire aircraft for one shipper, who decides the departure time and route. A part charter shares an aircraft between two or more shippers who split the cost, usually on a route that suits all of them. Part charters can cost less, but the shipper gives up some control over timing and may wait while the aircraft is filled. For truly critical freight, a full charter offers the most control. A part charter can make sense when several shipments are heading the same way.

What is exclusive-use ground transport?

Exclusive-use ground transport means one shipper reserves an entire van or truck for its shipment. The vehicle goes straight from pickup to delivery without stops for other freight or transfers through terminals. It is often used for critical freight on shorter lanes, where driving door to door beats the time spent on airport cutoffs and handling. It also suits freight that cannot fly, such as some hazardous materials, or freight that is ready too late in the day to make any flight.

Can lithium batteries ship as critical air freight?

Many lithium batteries can ship by air when they meet the rules for packaging, state of charge, marking and documentation. Some lithium battery shipments are restricted to cargo aircraft only, which limits the flights available. Rules differ for batteries shipped on their own, packed with equipment or contained in equipment. In the United States, the hazardous materials regulations apply, and airlines also follow IATA rules. Shippers should declare lithium batteries and share the safety data sheet when requesting a quote, so the right flight can be booked.
