AIR FREIGHT AGENT SERVICES

Your Air Freight Agent, From First Call to Delivery

Urgent air freight has a lot of moving parts. Flights, cutoffs, screening, paperwork and two truck legs all have to line up before the deadline. An air freight agent is the person who lines them up, so you don't have to.

At AirFreight.com, that person is your expeditor. We're a broker, not an airline, so your expeditor can book whichever option meets the deadline: a scheduled flight, a chartered aircraft, a hand carry courier or a dedicated truck. They stay on the shipment around the clock and call you the moment anything changes.

A good agent also tells you when not to fly. On a 300-mile lane, a dedicated truck often gets there first, with no airport cutoffs or recovery times in the way. Your expeditor compares every option against the deadline and the budget before recommending one.

Shippers who work with one agent get faster answers and fewer surprises. Here is how the role works and what to look for when you choose one.

Next Flight Out and Next-Day Air

Your agent books boxes, crates and pallets on the first flight with space, or on a planned next-day flight when there is time. Trucks pick up at your dock and deliver at the other end. It is the right fit for most urgent freight. Your agent checks the cutoff and the recovery time at each airport before booking, so the trucks are timed to the flight.

Chartered Cargo Aircraft

When no scheduled flight will make the deadline, or the cargo won't fit on one, your agent charters a whole aircraft. It flies direct from the nearest suitable airport, on your schedule. Charter operators are vetted for safety and the right equipment. Your agent plans the loading, the ramp access and the trucks around the aircraft.

For a small part or device that can't leave someone's sight, your agent books a courier on the next passenger flight. The courier delivers it in person, often the same day. The courier calls in at each step. You know when the part leaves, when it lands and who signed for it.

In short

The person behind the booking

An air freight agent books, documents and tracks the shipment so you don't have to.

Air freight agent The role

What an air freight agent does

Need someone to handle an air shipment from start to finish? That is the agent's job. The agent books space on the right flight and chooses the routing.

The agent prepares the air waybill, arranges screening and tender to the airline, tracks the shipment and handles compliance, such as dangerous goods paperwork. Agents work for forwarders, brokers, airlines and sometimes shippers. Their job is to make the air shipment happen without the shipper managing each step.

AirFreight.com's expeditors do this work for shippers across North America. Every shipment is monitored from pickup to delivery.

Why it matters

A person, not a portal

An agent picks the flight that will make the deadline and fixes problems before they cost a delivery.

On the desk The daily work

A day on an agent's desk

While a booking system shows flights, an agent is often better at finding the one that will actually make the deadline. The work starts with the shipment details: pieces, weight, dimensions and the deadline. The agent checks flights and cutoffs, books the space and arranges pickup.

For urgent freight, an experienced agent is also far more practical than a booking portal. The agent prepares the paperwork, watches each milestone and solves problems, such as a missed connection, before they become a missed delivery.

This makes one agent who owns the shipment a practical way to speed up every decision. AirFreight.com assigns one expeditor to each shipment from the first call to delivery.

Before you book

Have the details ready

Dimensions, weight, hazmat content and the deadline let an agent book it right.

Choosing an agent What to ask

Choosing an air freight agent

When a booking service isn't the right fit for an urgent shipment, an air freight agent might be the answer. Ask which options the agent can book, such as next flight out, hand carry and charter. Ask who your contact is after hours, how milestones are reported and what happens if the freight misses its flight.

Before booking, have the dimensions, weight, any dangerous goods or lithium battery content, the pickup and delivery addresses and the deadline ready. Those details let the agent book the right flight the first time.

And when air isn't the right solution, we also offer dedicated ground for shorter runs. AirFreight.com's expeditors answer these questions before you book.

Aerial view of a truck driving on the road
Honest fit

When to skip the plane

On shorter lanes, a hot shot or expedited van often arrives as fast as air.

Honest advice When not to fly

When air freight is not the answer

When cost counts but the deadline allows a day or two, a truck is often a strong option instead of a flight. Air freight costs more per pound than ground, and aircraft doors and decks limit piece size and weight. Flights have cutoffs, and weather or connections can cause delays.

Some goods are restricted or forbidden on aircraft. On shorter lanes, a hot shot, expedited van or full truckload often arrives as fast as air, with no airport handoffs. A good agent tells you when that is the better choice.

AirFreight.com's expeditors arrange both air and dedicated ground. Every shipment is monitored from pickup to drop-off.

The Real Difference Between a Broker and a Logistics Partner

John Mark Peterson, one of AirFreight.com's top expediting agents, joins Kevin Carpenter to talk about what it's really like inside a traditional truckload brokerage, and why he left it behind. From "boiler room" sales culture to carrier accountability to what happens when a shipment is actually time critical, John Mark breaks down the differences most customers never see.

They cover the vetting process behind AirFreight.com's carrier pool, why "somewhat time critical" doesn't mean the same thing everywhere, and how a company built for the most urgent loads operates differently from a volume-driven brokerage. The episode closes with a fast round of personal questions on the On Air Gauntlet.

First time customer

First time customer. Communication was fantastic throughout the entire process and is sincerely appreciated. Our customer shared an update this morning that the driver texted a little before 5 am that he would be there at 8. That’s exactly when he pulled in. She said it was a much easier process than she ever thought it would be and was very grateful.

Glad I don't need all the time, but when I do...

AirFreight handled my unusual situation (my perspective) seamlessly. In response to my first call for assistance, a professional (kind, even) HUMAN answered immediately. From there, communication at every stage was clear and thorough. AirFreight is an example of how a service operation is supposed to work.

Zero problems, ahead of schedule

My only criticism is that there isn’t an option for more than five stars. I’ve been burned by more hotshot brokers than I can count, and this is the first time I’ve had a shipment show up ahead of schedule with absolutely zero damage or tampering. I could not recommend AirFreight more strongly, we will be using them exclusively going forward. A bit higher priced but frankly inexpensive compared to the problems caused by prior shippers. 11/10, no notes.

Air Freight Agent Questions Answered

What does an air freight agent do?

An air freight agent arranges and manages air shipments. Typical tasks include taking the shipment details, checking flights and cutoffs, booking space, arranging truck pickup, preparing the air waybill and any dangerous goods declarations, tendering the freight for screening, tracking it through each flight and connection, and confirming delivery. Agents work for freight forwarders, brokers, airlines and some large shippers. For a shipper, a good agent means one person who handles every step and solves problems before they affect the deadline.

Is an air freight agent the same as a freight forwarder?

Not exactly. A freight forwarder is a company that arranges shipments, often consolidating freight from many shippers and handling international documents. An air freight agent is a role, or a type of company, focused on booking and managing air shipments, often on behalf of a forwarder, broker or airline. Many forwarders employ air freight agents, and some agents operate as their own companies. The practical question for a shipper is who will manage the shipment and whether they can book the options the deadline needs.

Can a freight forwarder act as a broker?

Yes. Many companies hold more than one role. A freight forwarder may also arrange truck shipments as a licensed freight broker, and a broker may consolidate freight or issue house air waybills like a forwarder. In the United States, arranging interstate truck freight for hire requires broker authority from the Federal Motor Carrier Safety Administration. For shippers, the label matters less than what the company actually does on the shipment: who books it, who takes possession and who is accountable if something goes wrong.

What is an IATA cargo agent?

An IATA cargo agent is a company accredited by the International Air Transport Association to sell cargo space on member airlines and issue air waybills on their behalf. Accreditation requires meeting financial standards and training requirements, including dangerous goods training for staff who handle hazardous shipments. Airlines use accreditation to decide whom they accept bookings and payment from through IATA's settlement system. For a shipper, it signals that the agent can book directly with many airlines, which matters most for international shipments.

What is a house air waybill?

A house air waybill is the document a freight forwarder or consolidator issues to an individual shipper when that shipper's freight travels as part of a larger consolidated shipment. It describes the shipper's own goods and acts as the contract between the shipper and the forwarder. The airline issues a separate master air waybill for the whole consolidation. Shippers can usually track their freight using either number, depending on whether they are asking the forwarder or the airline for status.

What is a master air waybill?

A master air waybill is the air waybill an airline issues for a shipment it carries. When a forwarder consolidates freight from several shippers, the master air waybill covers the whole consolidated load and names the forwarder as the shipper, while each shipper receives a house air waybill. For shipments booked directly with the airline, the master air waybill is the only one. Its number begins with the airline's three-digit prefix and is used to track the freight through the airline's system.

What are the downsides of air freight?

Air freight costs more per pound than truck or ocean freight. Aircraft doors and decks limit how large and heavy a piece can be, and flights have tender cutoffs that can push freight to a later departure if missed. Weather, airport congestion and missed connections can cause delays, and each airport handoff adds a step. Some dangerous goods are restricted or forbidden. Air also produces more emissions per pound than ground. These trade-offs are why air works best for urgent or high-value freight.

What is a TSA Indirect Air Carrier?

An Indirect Air Carrier, or IAC, is a company approved by the Transportation Security Administration to tender cargo to passenger airlines. Many forwarders, agents and some brokers hold this approval. To keep it, a company must follow a TSA security program covering how it accepts cargo, verifies shippers and handles screening. Because a large share of air cargo flies on passenger aircraft, working with a company that can tender to passenger airlines gives urgent shipments many more flights to choose from.

Do I need an agent for domestic air freight?

Not always, but most shippers benefit from one. A shipper with its own trucks can book airport-to-airport space directly with some airlines. Most urgent domestic shipments, though, need door-to-door service, the right flight, screening, paperwork and someone watching connections, which is exactly what an agent or broker provides. For international shipments, an agent or forwarder is usually essential because of customs documents. The more urgent and complex the shipment, the more an experienced agent is worth. Asking how the shipment will be tracked and who to call after hours is a quick way to judge any provider.

What does an air freight agent job involve?

An air freight agent job usually involves taking customer calls and requests, checking flight options and cutoffs, booking cargo space, arranging truck pickups and deliveries, preparing air waybills and other documents, tracking shipments and solving problems such as delays and missed connections. Agents work in forwarders, brokers, airlines and ground handling companies. The role often includes evening or weekend availability, because urgent freight does not wait for business hours. Strong communication and calm problem solving are central to it. The job can be demanding, but solving an urgent shipment for a customer is one of its main rewards.

What skills does an air freight agent need?

A good air freight agent needs strong communication skills, attention to detail and the ability to stay calm under time pressure. Knowledge of airline schedules, cutoffs, dimensional weight, screening rules and dangerous goods requirements is essential. Agents also need to understand trucking for the pickup and delivery legs, and to think ahead about backup options when a flight is delayed. Many agents build their skills through on-the-job training and courses such as dangerous goods certification and IATA cargo training. Experience on real urgent shipments, more than any single course, is what makes an agent good at the job.
