AIR CARGO QUOTES

A Real Air Cargo Quote, Fast

A quick online number rarely survives contact with the real shipment. Dimensions change the billable weight, the deadline changes the service and the trucks at each end change the total. A useful air cargo quote accounts for all of it before you book.

That's how we quote. Send the pickup and delivery addresses, the pieces and the deadline, and an expeditor prices every option that can make it. You see the full door-to-door cost before you commit, and the same person books the flight and tracks it to delivery.

Chargeable weight is the number most quotes get wrong. Airlines bill on actual weight or volume weight, whichever is higher. So a light, bulky crate can cost more than a small, heavy one. Send the real dimensions, and the price you see is the price you pay.

Here is what drives the price, so you can compare quotes with confidence.

AIR FREIGHT Icon of a plane flying over boxes

Scheduled Air and Next Flight Out

Scheduled air freight shares space on passenger and freighter flights, which keeps the cost down. Next flight out puts urgent freight on the first departure with room. We quote both when either can make your deadline. Your expeditor tells you which option fits the deadline and what the time difference is worth.

AIR CHARTER Icon of a charter aircraft

Dedicated Air Cargo Charter

When no scheduled flight fits, a chartered aircraft carries your freight alone. It costs more, but it leaves when you're ready and flies direct. We size the aircraft to the load. We include positioning, landing fees and ground handling in the quote, so the total holds.

HAND CARRY EF Icon

Hand Carry for Small Critical Parts

A courier carries a small critical item on a passenger flight and delivers it in person. For a single part, it is often faster and cheaper than a charter. The quote covers the courier's ticket, pickup and in-person delivery at the other end.

Quick tip

Share the hard deadline

The deadline decides the service level, so it matters as much as the weight.

Air cargo quote What to share

What to have ready for your quote

The quote is only as good as the details behind it. Start with the pickup and delivery addresses, the time your cargo is ready and the hard deadline at the other end. Add the piece count, the length, width, height and weight of each piece, and a plain description of the freight.

Flag anything special early, such as hazardous materials, a fragile part or a delivery that needs a liftgate. Complete details are also the right call when time is short, so the first quote is the one you book. AirFreight.com reviews those details with you and matches your freight to the flight or charter that fits.

Why it matters

Size can outweigh weight

Accurate dimensions keep your quote close to what the shipment actually bills.

Air cargo pricing Chargeable weight

How air cargo pricing really works

Chargeable weight is the number an air quote is built on, often higher than the actual weight on your scale. Airlines bill the greater of actual weight and dimensional weight. To find dimensional weight, multiply each piece's length, width and height in inches, then divide by the airline's standard dim factor to get pounds. A light but bulky crate can bill well above its scale weight.

Dense freight, such as machine parts, castings and fasteners, usually bills on actual weight. Bulky freight, such as panels, foam components and empty housings, usually bills on size.

Beyond weight, the lane, the service level and how soon you need it all shape the cost. Pickup and delivery at each end add to the door-to-door picture. AirFreight.com matches the right flight or charter to your freight and deadline, and quotes the whole trip door to door.

How an air cargo quote works

From quote request to delivery

Every air shipment follows the same path from first call to signed delivery. Knowing each step helps you prepare the right details and know what comes next.

  1. 01

    Share your shipment details

Send pickup and delivery addresses, cargo-ready time, deadline, piece count, dimensions and weight. Mention hazardous materials, fragile items or delivery needs such as a liftgate so the quote reflects the real job.

    • Dims and weight
    • Ready time
    • Deadline
  2. 02

    Review your flight options

Your expeditor checks scheduled flights, next flight out and charter options against your deadline. You get a door-to-door quote with the option that fits, plus alternatives when they make sense.

    • Scheduled air
    • Next flight out
    • Air charter
  3. 03

    Confirm and book

Once you approve the quote, the space is booked and the paperwork is prepared, including the air waybill. You get a confirmation with the pickup details and one contact for questions.

    • Air waybill
  4. 04

    Pickup and tender

A truck collects your freight at your dock and takes it to the airport. There it is screened and tendered to the airline, or loaded straight onto the charter aircraft.

    • Cargo screening
  5. 05

    Track the flight

Your expeditor follows the shipment through departure and arrival and keeps you updated. If a flight is delayed or a connection changes, you hear about it right away, along with the plan.

  6. 06

    Recover and deliver

At the destination airport the freight is recovered and driven to the final address. A signed proof of delivery closes out the shipment, and your expeditor confirms it with you.

    • Proof of delivery

Hazardous materials must be declared and packed to federal and airline rules before they can fly.

aircraft-cargo
Good to know

Shared flights cost less

Scheduled and next flight out freight share space, which keeps the cost below a dedicated aircraft.

Service levels Speed versus cost

Standard air, next flight out or charter

While a charter is faster than any shared flight, scheduled air freight is often the better value for freight that can wait. It moves on passenger and freighter flights alongside other shippers' cargo, so you pay for the space you use.

Next flight out sits between the two. Your freight goes on the first departure with room, which costs more than a planned booking but keeps you on a shared flight. For a small critical part, hand carry is far more practical than a charter. A courier carries it on a passenger flight and walks it to the door.

This makes a charter a practical alternative to scheduled air when the deadline is firm but no flight fits. AirFreight.com quotes every option that meets your deadline and arranges the one you choose.

truck-driving-aerial
Rule of thumb

Short run? Drive it.

On shorter distances, a dedicated truck often beats a plane door to door. Long runs fly.

Air or ground When ground wins

When a truck beats a plane

AirFreight.com specializes in priority freight that gets moving fast and delivered where it is needed, by air or by road. On shorter distances, a dedicated truck often beats a plane door to door. It leaves your dock right away, with no tender cutoff, airport handling or recovery at the other end.

Driving straight through removes those airport steps, which saves time and cuts the risk of a missed connection. A truck is also the right call for oversized freight that will not fit through an aircraft door. Over longer distances, air clearly wins. Ocean freight costs less but takes weeks, so it suits only international freight planned far ahead.

We also arrange expedited ground, and we will tell you when a truck beats a charter. Your shipment stays with one expeditor from the first quote to final delivery. Talk to our expeditors about your freight, and we'll find the right option.

Why Cheap Freight Costs More: Mike Pettrey on Trust & Expedited Trucking

On this episode of On Air with AirFreight.com, host Kevin Carpenter sits down with Mike Pettrey, CEO of C&M Transport out of Painesville, Ohio — one of AirFreight.com's most trusted carrier partners and one of the oldest expedite companies in the country, now in its 35th year.

Mike shares how his father founded C&M around fair treatment of drivers and owner-operators, why straight trucks and sprinter vans became the backbone of the expedite industry, and how dedicated capacity mitigates cargo risk that traditional LTL can't. The conversation covers freight rate compression since 1991, the industry's price-driven race to the bottom, why regulatory crackdowns are (in their view) good for carriers who play it straight, and how technology — real-time tracking, proactive delay alerts — is raising the bar for customer transparency without replacing the human judgment calls that keep freight moving safely.

First time customer. Communication was fantastic throughout the entire process and is sincerely appreciated. Our customer shared an update this morning that the driver texted a little before 5 am that he would be there at 8. That’s exactly when he pulled in. She said it was a much easier process than she ever thought it would be and was very grateful.

Zero problems, ahead of schedule

My only criticism is that there isn’t an option for more than five stars. I’ve been burned by more hotshot brokers than I can count, and this is the first time I’ve had a shipment show up ahead of schedule with absolutely zero damage or tampering. I could not recommend AirFreight more strongly, we will be using them exclusively going forward. A bit higher priced but frankly inexpensive compared to the problems caused by prior shippers. 11/10, no notes.

HowWe Work

One Person, Start to Finish

When you ask AirFreight.com for an air cargo quote, a real person picks up right away. That same expeditor prices the shipment, books the flight or charter and owns it until the consignee signs. Nobody hands your quote to a booking desk, and you never re-explain the freight halfway through. If plans change at the airport, the person who quoted it is the one who calls you.

  • The expeditor who quotes it books it
  • Updates at pickup, wheels-up, wheels-down and delivery
  • The same person on your next quote

WhatWe Provide

The Right Mode, Every Time

A good air cargo quote prices the option that fits, not the biggest one on the list. We look at scheduled flights, next flight out, hand carry and chartered aircraft, plus trucks from sprinter vans to hot shots, and quote what your freight and deadline actually need. You never pay for a charter when a scheduled flight makes it, and you are never left without the aircraft you do need.

Air Cargo Quote Questions Answered

What is chargeable weight in air cargo?

Chargeable weight is the weight an airline actually bills. It is the greater of two figures: the actual gross weight of the shipment, including pallets and packaging, and its dimensional weight, which reflects how much space the freight takes up in the aircraft. Air cargo is priced this way because on many flights the space runs out before the weight capacity does. A pallet of dense steel parts usually bills on its actual weight. A large, light crate of foam or plastic housings usually bills on its dimensional weight. Knowing which one applies to your freight helps you read a quote and spot where tighter packing could lower the chargeable weight.

How is dimensional weight calculated in pounds and inches?

Measure each piece's length, width and height in inches, rounding up to the nearest inch. Multiply the three to get cubic inches, then divide by the airline's dim factor to get pounds. A common divisor for domestic air cargo is 166, which matches the international standard of 6,000 cubic centimeters per kilogram, although some carriers and express services use a different figure. For example, a crate measuring 40 by 30 by 30 inches has 36,000 cubic inches, which works out to about 217 pounds of dimensional weight. If that crate weighs 120 pounds on the scale, it bills at about 217 pounds, because the larger of the two figures applies.

What is the difference between freight and parcel shipping?

Parcel shipping moves individual boxes through a carrier's sorting network of automated hubs, scanners and delivery vans. Parcel networks are built for packages a person can lift, typically up to about 150 pounds each. Freight covers anything larger or heavier, such as palletized goods, crates, machinery and loose pieces that need a forklift. Freight moves on trucks, in aircraft holds or on charters, usually under one bill of lading or air waybill for the whole shipment rather than a label per box. The distinction matters for urgent shipments, because a part that exceeds parcel limits needs a freight service, and parcel networks rarely offer the dedicated handling a time-critical shipment needs.

How does standard air freight differ from air cargo charter?

Standard air freight travels on scheduled flights, in the holds of passenger aircraft or on freighters that fly set routes. The shipment shares space with cargo from other shippers, follows the airline's schedule and cutoffs, and may connect through a hub. An air cargo charter books an entire aircraft for one shipment. It departs when the cargo is ready, flies directly to the airport nearest the destination and can use smaller airfields that scheduled flights do not serve. A charter costs considerably more, because the shipper pays for the whole aircraft. It is used when no scheduled flight meets the deadline, or when the freight is too large or too sensitive for shared space.

What is next flight out service?

Next flight out is an expedited air service that places a shipment on the first available scheduled flight with space between two airports. It sits between standard air freight and a charter. The freight still flies on a shared airline flight, so it costs far less than chartering an aircraft, but it is booked for the earliest departure rather than the most economical one. A courier or truck picks up the freight and delivers it to the airline's cargo terminal before the cutoff, and another truck recovers it at the destination airport. It suits replacement parts, documents and other small to mid-sized shipments that need to arrive as soon as possible.

What is a door-to-door air cargo quote?

A door-to-door air cargo quote covers the whole trip, from the shipper's dock to the receiver's door. It includes pickup at origin, delivery to the airline or charter aircraft, the flight itself, recovery at the destination airport and final delivery. A good door-to-door quote also reflects the chargeable weight, any special handling such as hazardous materials or a liftgate, and the service level needed to meet the deadline. Because every leg is included, it is the number to compare when deciding how to ship. A quote that covers only part of the trip can look lower, but it leaves the shipper to arrange and pay for the missing legs separately.

Why is an airline airport-to-airport rate lower than a door-to-door quote?

An airline airport-to-airport rate covers only the flight, from the origin airport's cargo terminal to the destination airport. The shipper, or someone they hire, has to get the freight to the terminal before the cutoff and collect it on arrival. Those trucking legs, along with screening, handling and any waiting time, are not in the airline's figure. A door-to-door quote rolls all of that into one number, so it is naturally higher than the flight rate alone. Online airline rate calculators also tend to show standard service only. When comparing, add the cost of pickup and delivery to the airline rate before deciding which option is actually cheaper.

How does air cargo compare with ocean freight?

Ocean freight costs much less per pound than air cargo, which is why most of the world's goods by weight travel by ship. The trade-off is time. Ocean shipments take weeks once port handling and customs are included, while air cargo moves in days or even hours. Air carries a large share of world trade by value, because it suits high-value, time-sensitive goods such as electronics, medical supplies, aerospace parts and replacement equipment. Ocean freight only applies to international moves. Within the United States, the realistic alternatives to air are expedited ground and dedicated trucks, which can be faster than flying on shorter distances.

Can hazardous materials ship as air cargo?

Many hazardous materials can ship as air cargo, but they must meet strict rules. In the United States, the Department of Transportation and the FAA regulate dangerous goods by air, and airlines also follow the IATA Dangerous Goods Regulations. Shippers must classify the material, pack it in approved packaging, mark and label it, and provide a signed shipper's declaration. Some materials are allowed only on cargo aircraft, some have quantity limits per package, and some cannot fly at all. Common examples include lithium batteries, paints, aerosols, flammable liquids and certain chemicals. Declaring hazardous materials up front matters, because it decides which flights or charters can carry the shipment.

What is a freight minimum in air cargo?

A freight minimum is the lowest charge an airline or service will bill for a shipment, no matter how little it weighs. Airlines set minimums because handling, paperwork, screening and loading cost roughly the same for a small box as for a larger piece. For light shipments, the minimum often applies instead of the per-pound rate, so a very small shipment can cost the same as something several times heavier. Pickup and delivery services usually carry their own minimums as well. For small urgent items, the main alternatives are next flight out or hand carry, where an onboard courier keeps the piece with them from pickup to delivery.
